Troubleshoot Leave Approval and Rejection

Summary​

Safe triage for failed, restricted, or ambiguous Leave decisions.

Audience​

Employees or administrators affected by the scenario, first-line support, QA, service owners, and architects.

Symptoms​

Approve/Reject is absent, fails, remains Pending, or produces an unexpected state.

Scope​

Client action visibility, API authorization/state validation, balance effect, Attendance check, and optional Workflow mode.

Cause​

The cause must be confirmed from current state and source-backed evidence.

Likely causes​

  • User lacks confirmed decision scope
  • Request is not in an allowed state
  • Attendance conflict or balance/profile issue
  • Workflow-managed request awaits or failed orchestration/callback

Safe diagnostic steps​

  1. Confirm current request status before retrying.
  2. Record client action visibility, response category, Workflow mode, and safe correlation evidence.
  3. Compare Leave and Workflow state when delegation is enabled.

Resolution​

Use the correct authorized approver and source-defined action. For ambiguous/Workflow states, stop retries and reconcile with owners.

Safe resolution​

Use only the resolution above and approved operational processes. Do not modify databases, replay messages, bypass authorization, or repeat ambiguous state-changing actions.

Validation​

Confirm one terminal decision, expected balance effect, and downstream event evidence where applicable.

Evidence to collect​

Collect the safe UTC window, route/operation category, response/status category, deployed version, affected scope count, and a correlation identifier. Exclude credentials, tokens, personal Leave details, employee identifiers, payloads, configuration values, and private topology.

Escalation​

Leave/Workflow owners; product owner for decision governance; Identity/security for authorization parity.
